Job Purpose:

  • To perform general administration and data processing duties whilst gaining the relevant qualifications
  • To deliver an excellent level of administration to the departments
  • To provide support to the departments as and when required

Main duties:

  • To gain a full understanding of the department’s administration processes from start to finish 
  • Being the point of contact for visitors, ensuring that they have signed into the building, welcomed into the office, that are informed of their arrival and that they are given an excellent first impression of the business
  • Arranging tea and coffee for meetings
  • Checking meeting rooms are tidy after use
  • Processing the office post, which includes, opening all incoming post, scanning documents prior to being passed to relevant departments, distributing the post to all departments when required and collecting and packaging all outbound post
  • Assisting with opening files
  • Inputting data and maintaining client records
  • Photocopying bundles ready for disclosure or Court
  • Making and receiving calls
  • Assisting with the file closure process
  • Liaising with the Operations Manager for setting up desks for new joiners
  • Maintaining Organisational Chart and Telephone list
  • Assisting with issuing of key fobs and checking key fob list
  • Topping up printers with paper throughout the office
  • Checking, stocktaking and submitting a stationery order with the Operations Manager
  • Providing general administration support to all departments including, sending emails, typing scanning and photocopying
  • Maintaining both manual and computerised filing systems
  • Attending the necessary training sessions and completing the required work in order to complete the apprenticeship

General duties and Responsibilities:

  • Ensuring all documents are handled in accordance to our data protection, scan and destroy procedures.
  • Working to the Company’s CORE Values
  • Identifying system problems and suggesting improvements
  • Ensuring confidentiality and security of all documentation and information you have access to
  • Adhering to all compliance guidelines, including but not limited to, Data Protection and Solicitors Regulation Authority
  • Pro-actively co-operate with other departmental teams to support the smooth running of the Company.
  • Complying with the Company’s Health and Safety Policy and Procedures at all times.
  • Abiding by the Policies and Procedures as set out in the Employee Handbook.
  • Undertaking any other tasks/duties as may be reasonably required.

Working week: Monday – Friday, 9am – 5pm

Expected apprenticeship duration: 15 months

Skills required

  • Minimum of GCSE grade C/4 or equivalent in Maths and English
  • Excellent literacy skills to ensure that all notes are legible and comprehensive
  • Excellent communication skills
  • Computer literate in word and excel
